Cancellation and Refund Policy

1. Introduction

This Cancellation and Refund Policy applies to all in person and online classes or events booked online through our website or third party booking platforms we use to facilitate the sale of tickets for said classes or events. We are committed to providing transparent and fair terms to all our customers. Please read this policy carefully before making a booking.

2. Right to Cancel

Under the European Union (Consumer Information, Cancellation, and Other Rights) Regulations 2013, consumers have the right to cancel their booking within 14 days from the day the contract is made, provided the service has not yet commenced.

3. Cancellation Terms

  • Notice Period: Cancellations must be notified at least 28 days before the scheduled class date to avoid incurring additional charges.

  • Late Cancellations: Cancellations made within 14 days of the class date will incur a cancellation fee to cover the costs of the venue booking and additional marketing expenses at a rate of 25% of the total cost paid for either block booked classes or one-off classes, plus a deduction for any payment processing fees charged to Brown Bear Wellness by third-party online booking platforms.

4. Refund Terms

  • Cooling-Off Period: If you cancel within the 14-day cooling-off period and the class has not commenced, you are entitled to a full refund.

  • Pro-rata Refunds: If the class has commenced during the cooling-off period upon your request, you will receive a pro-rata refund based on the proportion of the service already provided, with an additional deduction of 25% of the total paid to cover venue booking and marketing costs, plus a deduction for any payment processing fees charged to Brown Bear Wellness by third-party online booking platforms.

  • Deductions for Costs: For cancellations made outside the cooling-off period or late cancellations, a portion of the booking fee may be retained to cover:

    • Venue Booking Costs: Non-refundable costs associated with securing the venue for the class, at 25% of the total cost paid for either block booked classes or one-off classes, plus a deduction for any payment processing fees charged to Brown Bear Wellness by third-party online booking platforms.

    • Marketing Costs: Expenses incurred for marketing efforts to fill the spot left vacant by the cancellation, at 25% of the total cost paid for either block booked classes or one-off classes, plus a deduction for any payment processing fees charged to Brown Bear Wellness by third-party online booking platforms.

5. Processing Refunds

  • Refunds will be processed within 14 days of receiving your cancellation request.

  • Refunds will be made to the original payment method used at the time of booking where applicable. 

6. Exceptions

The right to cancel and receive a refund may not apply to certain services related to leisure activities that are scheduled for a specific date or period, as per Regulation 13(2)(b) of the European Union (Consumer Information, Cancellation, and Other Rights) Regulations 2013.
